Report Writing Process

The report writing process refers to the systematic approach taken to craft a written document that effectively communicates research findings, analysis, or insights related to social phenomena, human behavior, or societal issues. This process entails planning, research and data collection, structuring and outlining, writing, review and revision, as well as editing and formatting. The aim is to produce well-structured, coherent reports that contribute to the understanding and advancement of knowledge within the social sciences.

The report writing process (2015, pp. 210-221) involves five main steps:

1. Preparing to Write: This step involves gathering information, understanding the audience, and considering presentation techniques. It emphasizes the importance of knowing the audience, choosing the appropriate message type, and utilizing effective information design techniques.

2. Organizing the Information: Rather than considering the report as one long document, it is recommended to think of it as a group of small, self-contained sections. The process involves dividing the outline into topics, identifying the most interesting ones, and writing about them first.

3. Writing the Words (Draft): This step advises breaking the report into manageable sections and avoiding trying to type a perfect first draft. It emphasizes maintaining momentum and not getting stuck on finding the exact word or correcting spelling during the initial writing phase.

4. Editing the Information: This step involves detailed editing, including checking for appropriateness, coherence, completeness, correctness, and conciseness. It also includes creating a checklist of questions to assess the quality of the writing.

5. Revising the Text: The final step involves doing a second edit to ensure smooth readability, accuracy, and absence of new errors. It also emphasizes obtaining an objective opinion by having a disinterested person review the report and provide constructive criticism.

These steps are essential in ensuring the quality and effectiveness of the finished report.

Histogram

The word histogram comes from the Greek histos, meaning pole or mast, and gram, which means chart or graph. Hence, the direct definition of “histogram” is “pole chart.” Perhaps this word was chosen because a histogram looks like several poles standing side-by-side. A histogram is used to display the distribution of data values along the real number line. It competes with the probability plot as a method of assessing normality. A histogram is created by dividing up the range of the data into a small number of intervals or bins. The number of observations falling in each interval is counted. This gives a frequency distribution.

A histogram is a graph of the frequency distribution in which the vertical axis represents the count (frequency) and the horizontal axis represents the possible range of the data values.
